Welcome to Winthrop! Please help us to make your transition a flawless one by submitting the “Required Forms” and materials, as indicated below. In addition, please review the “Pertinent Information” regarding Orientation and other  essential processes.  If there are any questions, call the Office of Academic Affairs (OAA) at 516-663-2521.

1. PAYROLL PROCESSING FORMS/HUMAN RESOURCES

If you have any questions concerning these forms, please call Kevin Ketterhagen, at 516-663-4914. You will also need to schedule an appointment with Kevin to bring in the additional required documentation (originals, no copies please!) before Friday, May 22nd . Kevin’s office is located in the Professional Residence Building.

2. EMPLOYEE HEALTH DEPARTMENT REQUIREMENTS/FORMS

Medical Clearance: All incoming house staff must have a physical examination done by the Employee Health Department (EHD) at Winthrop. Please contact the EHD at (516) 663-2534 by June 1st to schedule an appointment before Friday, June 11th . On the day of your physical, you must bring your immunization records and PPD testing results.

If you are unable to schedule your Employee Health appointment before June 11th , your private physician must complete the Practitioner Certificate (lower portion of the “EHD Requirements” form below). You must call the EHD at 516-663-2534 and fax this form, your immunization records and your PPD results by June 11th . Please note that you will not be cleared to start at Winthrop without acceptable documentation of immune titers and PPD, and are still required to have an in-person clearance by Employee Health prior to July 1st.

Deadline for above form: Friday, June 11th.

3. HOUSING DEPARTMENT INFORMATION/FORMS

Winthrop provides its house staff with subsidized housing in a number of apartment complexes and houses in close proximity to the hospital. Assignment of Winthrop housing is made by the Housing Coordinator, Jeanne Schiek, based on the individual housing needs of the residents, as indicated in the Housing Requirements Questionnaire form (below). If the Housing Coordinator determines that an individual resident’s housing needs cannot be accommodated in Winthrop housing, a live-off allowance may be offered to the resident in lieu of housing.

Please download, print out, review and complete the housing forms below, and return to the Housing Coordinator by April 16th.

Please note that housing assignments cannot be made until all 3 forms have been completed and returned to the Housing Coordinator. Residents may contact the Housing Coordinator after May 21st by phone (516-663-2036) or email (jschiek@winthrop.org) for information on housing assignments.

PERTINENT INFORMATION


A. ORIENTATION

Day 1: Friday, June 25th , 7:30am to 5:00pm (registration is between 7:30am-8am) and
Day 2: Wednesday June 30th, 7:30am to 6:00pm (department tour at 2:30pm, cocktail reception 4:00-6:00pm)

You are required to attend both Day 1 and Day 2 of Orientation, exceptions are only for emergencies. Breakfast and lunch will be served. Business casual attire is appropriate. (On Day 2, there will be a “Welcome Party” cocktail reception in your honor with department heads and administrators.)

Orientation will be held in the Community Outreach Center, located at 101 Mineola Boulevard on the corner of Mineola Boulevard and Second Street. (Please enter through the rear entrance of the building). Parking is available in the Visitor’s Parking Garage by the Emergency Room Entrance.

Please bring your original medical school diploma (and translation if applicable) to Orientation. Academic Affairs representatives will collect diplomas during registration at Orientation and make an official copy for your Winthrop file. You may pick up your diplomas at the end of the day in the Academic Affairs Office located at 222 Station Plaza North, Suite 510.

Please note: You may bring your diploma to Academic Affairs prior to Orientation between the hours of 8:30am – 4:30pm, Monday thru Friday.

B. ACLS/PALS/NRP

Listed below are the dates, attendance requirements and registration information for ACLS, PALS and NRP. Attendance is mandatory for the programs listed even if you have a current ACLS or PALS card from another institution.

The only exception to this rule is if you are enrolling in a one year program* (IM prelim, Geriatrics, Sleep Medicine and Interventional Cardiology), and you have a current ACLS certificate that will not expire until after you have completed your Winthrop program. In this case, you must notify Academic Affairs before April 16th so that your name can be removed from the registration list, and you must bring a copy of your ACLS certificate to Orientation to be copied for your file.

ACLS: Residents in the following training programs are required to become certified in ACLS upon entering their WUH training program and are required to maintain current certification throughout their training:

Internal Medicine Radiology Gastroenterology Interventional Cardiology*
OB/GYN Cardiology Geriatrics* Nephrology
Pathology Endocrinology Infectious Disease Oncology/Hematology
Pulmonary Rheumatology Sleep Medicine*

PALS: Residents in Pediatrics, Pediatric Endocrinology and Pediatric Pulmonology are required to become certified in PALS upon entering their WUH training program and are required to maintain current certification throughout their training.

NRP: Residents in Pediatrics and OB/GYN are also required to become certified in NRP upon entering their WUH training program and are required to maintain current certification throughout their training.

REGISTRATION:

ACLS Registration: The ACLS training will consist of two parts: an online course which you will register for and take individually, and a half day practicum session in Winthrop’s Community Outreach Center. (The half day practicum will take place on June 29th, in either a morning or afternoon session, and will alternate with MIS training at the same location during the other part of the day.)

If you are an incoming resident/fellow in one of the programs that is on the mandatory list, you will be contacted in May via email by the American Heart Association with instructions for registration, and you will be given your individual access key number to allow you to register for ACLS and access the online ACLS training materials. (Please be sure that your residency coordinator has your correct current email address; it may have to be updated from what was listed in the ERAS applications.) The schedule with the times for ACLS and MIS training sessions will be included in your Orientation packet, which you will be given on Day #1 of Orientation (June 25th).

PALS Registration: Contact Veronica Napoli , the Pediatrics residency coordinator, at (516) 663-8443 before May 14th to register for PALS. She will advise you of the time to report for the program, and arrange for you to pick up the necessary materials for the course.

NRP Registration for Pediatrics Residents: Pediatrics residents, please contact Veronica Napoli, the Pediatrics residency coordinator, at (516) 663-8443 before May 14th to register for this course.

NRP Registration for OB/GYN Residents: OB/GYN residents, please contact Lorraine Friscia, the OB/GYN residency coordinator at (516) 663-8660 before May 14th to register for the NRP course.

SCHEDULES:

ACLS: Tues., June 29th, 8:00 AM to 12:00 PM, or 1:00 PM to 5:00 PM, Community Outreach Center
NRP: Thurs., June 24th, 8:00 AM to 5:00 PM, Pediatric Conference Room
PALS: Day #1: Mon., June 28th, 8:00 AM to 5:00 PM, Community Outreach Center, and Day #2: Tues., June 29th, 10:00 AM to 5:30 PM, New Life Center Conference Rooms “B & C”

Please note: In order to register for ACLS or PALS you must provide evidence (American Heart Association Card) that you have taken an American Heart Association BLS for Healthcare Provider course. If you have not yet taken BLS, the American Heart Association can provide a listing of when and where it is offered (www.americanheart.org). Winthrop also offers these courses as outlined below:

Winthrop will be holding the American Heart Association’s BLS for New Healthcare Provider classes on the following days at the Community Training Center:

  • Saturday, June 12th, 9:00 AM to 2:00 PM
  • Tuesday, June 22nd, 5:30 PM to 11:00 PM

Winthrop will also be offering the American Heart Association’s BLS for Healthcare Provider Renewal classes on the following days at the Community Training Center (you must have a current AHA card to attend this class):

  • Saturday, June 5th, 9:00 AM to 12:30 PM
  • Wednesday, June 16th, 6:00 PM to 9:30 PM
  • Saturday, June 26th, 9:00 AM to 12:30 PM

These Winthrop BLS sessions are available on a pre-registration, first-come first-served basis. You may call the Community Training Center at (516) 663-4455 for further information on these classes. BLS is at your expense.

As a courtesy to all incoming house staff, Winthrop Hospital will pay for all incoming ACLS, NRP and PALS classes. However, please understand that once you sign up for a class, a seat has been reserved for you, and therefore, if you do not attend, you will be charged the class fee.

C. MIS TRAINING

Your training session on Winthrop’s clinical computer system, including the Computerized Physician Order Entry (CPOE), will be integrated with your ACLS or PALS Training. The schedule for MIS training will be included in your Orientation packet, which will be distributed on Day #1 of Orientation.

D. CONTRACT

If you have not previously received your Winthrop contract, it will be sent to you under separate cover.

E. MEAL ALLOWANCE

House Staff are provided with complimentary meals up to a monetary cap as shown below in the hospital’s cafeteria or in the Lobby Café (when the cafeteria is closed). Any overages must be paid at the register at the time of purchase. Details on hours of operation are in your House Staff Manual, which is located on the Graduate Medical Education page of the Winthrop website.
